This Privacy Policy describes how Meraki Management and Consulting, LLC, doing business as PairOps (“PairOps,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information through pairops.com (the “Site”), workspace.pairops.com (the “Workspace”), and any related pages, forms, tools, and communications that link to this Privacy Policy (collectively, the “Services”).
This Privacy Policy applies to information collected through the Site, the Workspace, and related business development communications. It does not apply to information collected offline except where expressly stated, or to third-party websites, platforms, or services that may be linked from the Services.
By using the Site or Services, submitting information through the Site, or contacting us through the Site, you acknowledge the practices described in this Privacy Policy.

We may collect the following categories of information:

When you fill out a contact form, request information, schedule an introductory conversation, subscribe to updates, or otherwise communicate with us, we may collect:

When you apply to join the PairOps network through our intake form (hosted by Fillout, a third-party form provider), we collect additional information including:
Application data is transmitted via Fillout and stored in our cloud database (Airtable). For applicants who are not accepted into the network, application data is generally retained for a limited period and then deleted, as described in Section 6.
C. Account and Authentication Data
When you create a Workspace account, your authentication is managed by Memberstack, a third-party authentication provider. Memberstack manages your email address, hashed password, member ID, and access permissions. PairOps does not store your raw password. PairOps receives and stores your member ID and associated account information to scope your access to the Workspace and its tools.

2. How We Use Information
We may use personal information to:
2A. PairOps Workspace and AI-Powered Tools
If you use PairOps Workspace (workspace.pairops.com), the following applies in addition to the general practices described above:
SOP Generator (data stored, AI-processed). Operational data you enter into the SOP Generator (such as process descriptions, personnel details, facility information, and compliance requirements) is sent to a third-party AI service (Anthropic’s Claude API) via encrypted connection to generate SOP documents. Generated SOPs are saved to your SOP Library in our cloud database (Airtable) and are accessible only through your authenticated account.
SOP Library (data stored). Your saved SOPs are stored in Airtable and are scoped to your authenticated account.
Compliance and Deadline Tracker (data stored). Compliance deadlines and regulatory dates relevant to your state(s) are stored in Airtable and filtered by your account.
Crop Diagnostics (AI-processed, not stored). Plant symptom descriptions you enter are sent to the Anthropic Claude API to generate diagnostic suggestions. PairOps does not store crop diagnostic inputs or results on our servers. However, your inputs are transmitted to the AI provider for processing.
Cultivation Cost Calculator (not stored). Cost data you enter into the calculator is processed entirely in your browser. No data is sent to or stored on PairOps servers. The Excel export feature generates a file locally on your device.
My Profile (data stored). Profile information you enter or edit is stored in Airtable and may be displayed publicly in the operator directory, as described in Section 4.
Industry Alerts (no operator data sent). Industry news is aggregated from public RSS feeds and displayed in your Workspace. No operator data is transmitted externally to provide this feature.
2B. Operator Messaging
The Workspace includes a messaging feature that allows companies to send messages to operators through their public profiles. Messages are stored in our cloud database (Airtable) and are visible in the recipient operator’s Workspace inbox. PairOps administrators may access message content for the purposes of platform operations, abuse prevention, security monitoring, and enforcing our Terms of Use. Messages are not end-to-end encrypted. Do not transmit highly sensitive or confidential information through the messaging system without appropriate precautions.
2C. AI Processing Practices
The SOP Generator and Crop Diagnostics tools use the Anthropic Claude API to process operator inputs. The following practices apply:
Sensitive data guidance. You should avoid entering personally identifiable information of employees, clients, or other third parties into AI-powered tools unless necessary and authorized. PairOps is not responsible for any third-party personal data you submit to the Services.

We do not knowingly sell personal information collected through the Site or Services. We do not use the Site or Services to share personal information for cross-context behavioral advertising unless and until the Services are updated to do so and this Privacy Policy is revised accordingly.

The following third-party services are used to operate the Site and Services. This is not an exhaustive list of every subcontractor, but identifies the primary services that process user data:

All primary service providers are US-based. However, CDN edge nodes used by hosting providers (Vercel, Webflow) may serve cached content from global locations.
4. Public Operator Profiles
Approved operators in the PairOps network have public profiles displayed in the operator directory on the Site. Public profile information may include your name, photograph, experience summary, professional disciplines, state experience, and other information you provide through the profile editor.
Public profile fields are distinct from private workspace data (such as saved SOPs, compliance records, messages, and account settings), which is accessible only through your authenticated account.
You may request removal of your public profile or modification of publicly displayed information by contacting privacy@pairops.com. Profile visibility preferences may also be managed through the Workspace.
5. Cookies and Similar Technologies
The Site may use cookies, pixels, analytics tags, and similar technologies to support site functionality, understand traffic patterns, and improve performance. The Workspace uses session cookies managed by Memberstack for authentication purposes; these are strictly necessary for the Services to function.
As of the date of this Privacy Policy, PairOps uses Webflow analytics for basic traffic measurement on the public Site. PairOps does not currently use advertising cookies, retargeting services, or cross-context behavioral advertising tools. If this changes, this Privacy Policy will be updated accordingly.
You can control cookies through your browser settings. Please note that disabling cookies may affect how the Site and Services function, including your ability to remain authenticated in the Workspace.
Do Not Track and Similar Signals
Some browsers offer a “Do Not Track” setting. The Site does not currently alter its data collection or tracking practices in response to browser Do Not Track signals, because there is not a universal standard for how websites should respond to these signals.
If we are required by applicable law to recognize a legally valid browser-based opt-out preference signal, we will do so to the extent required and technically supported.
6. Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy. The following provides general guidance on retention by data category:

7. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. This includes encrypted data transmission (TLS/SSL), scoped access controls in the Workspace, and authentication through a dedicated third-party provider. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
8. Data Portability and Export
You may request a copy of your operator profile data and saved SOPs by contacting privacy@pairops.com. PairOps will make reasonable efforts to provide the requested data in a commonly used electronic format, subject to technical limitations and applicable law. The Cultivation Cost Calculator supports direct Excel export from your browser; this data is not stored on PairOps servers and does not require a data export request.
9. Third-Party Links and Services
The Site and Services may contain links to third-party websites, platforms, or services. We are not responsible for the privacy, security, content, or practices of third parties. Your interactions with third-party services are governed by their own terms and privacy policies.
10. Children’s Privacy
The Site and Services are not directed to or intended for use by individuals under 18 years of age. We do not knowingly collect personal information from individuals under 18 through the Site or Services. If you believe a minor has provided personal information through the Site or Services, please contact us so we can review and delete the information as appropriate.
11. California Privacy Rights
If you are a California resident, you may have rights under California law, which can include the right to:
PairOps may not currently meet the revenue or data-volume thresholds that would make it a covered business under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA). Regardless, PairOps voluntarily honors California-style privacy requests from operators and users of the Services as a matter of good practice.

We do not intentionally collect sensitive personal information through the Site or Services except to the extent you choose to provide it. We ask that you do not submit sensitive personal information through general website forms unless specifically requested and appropriate.

Sale or Sharing
We do not knowingly sell personal information. We do not knowingly share personal information for cross-context behavioral advertising through the Site or Services as of the date of this Privacy Policy.

We may need to verify your identity before responding to your request. We will not discriminate against you for exercising applicable privacy rights.
If you use an authorized agent to submit a request on your behalf, we may require proof of the agent’s authority and may still need to verify your identity directly with you.
12. Users Outside California
If you access the Site or Services from outside California or outside the United States, please note that your information is primarily processed and stored in the United States using US-based service providers. Hosting and CDN providers may process or cache content in other jurisdictions as part of normal service delivery.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top of this page. Your continued use of the Site or Services after any update becomes effective constitutes acceptance of the revised Privacy Policy.
